Q: Bad or Duplicate Data has been Detected... How do I run Cleanup?
A: During a re-index you may encounter "bad" or "duplicate data". This is data the system has determined is unusable or a duplicate of a previously saved record. The data file will need to be "cleaned up" before the indexes will be correct.

Please note: all instructions assume APM programs and menus. If you have custom menus, your menus may be different.

After re-indexing, print the DFSORT.LOG so you will know in which files you have the "bad" or "duplicate data". The DFSORT.LOG is an ASCII file located in your Data Directory/Folder and may be printed from any text editor or word processing package available on your system. Also, print a listing from the LIVE DATA directory/folder of files with the extension of .BAD (*.BAD).


1. From your Utilities menu, select DF File Maintenance Utility. If you encounter an error at this point, please call DataModes Tech Support at 1-800-547-3887. Please mention that you have these instructions.

2. From the DataFlex File Maintenance Utility screen, select Maintenance.

3. Using your arrow keys, select Cleanup.

4. Press again on Cleanup.

5. Press on Select File.

6. The program will bring up a list of all files. With the information found on the DFSORT.LOG, use your arrow keys to move to the file you have identified that has the "bad" or "duplicate data" records. Press to select the file.

7. This will bring up the two (or more) records with the duplicate data. Use your key to move from record to record to determine which one is most correct. Most of the time, they will look exactly alike except for a date. You will need to make a determination of which one you want to keep. Highlight the one you want to keep and press the key (usually F2).

8. Repeat for each file with an extension of .BAD.

9. When you are finished, ESC out of the program.

10. If the .BAD files still exist at the Live Data directory/folder after the cleanup has completed, delete them (ONLY *.BAD files should be deleted!).

11. Re-index the file(s) that had the duplicate records.
