Q: When should I Increase File Sizes?
A: If you begin to have unexplained errors that do not appear to be normal, the first thing you should is to run a File Status Report. This report will identify data files where the Records Used is within 20 percent of or has exceeded the Maximum Record size. A File Status Report should be run periodically to check for these conditions. If there are data files where the Records Used has exceeded the Maximum, this condition should be corrected as soon as possible to protect your data integrity.

Running A File Status Report:

1. From the System Menu, select the Utilities Menu. If you cannot locate this menu option, please contact your DataModes System Administrator.

2. Using the arrow keys, select "File Status Report".

4. The next screen will display the message "(Y) Print File Status Report". Use the ENTER key to move to the printer selection box and select the printer you wish to use for this report. The printed report will be 2 or 3 pages in length.

5. From the printed report, scan the far right column looking for the characters "*" and ">". These characters indicate that a data file is within 20 percent of the maximum record size (*) or the records used has exceeded the maximum size (>).

6. Files that are within 80% of the Maximum size will need to be increased. A good rule of thumb would be to double the record size and use that as your new maximum size figure. If you have run a File Status Report at regular intervals, you will know how quickly your files grow and may adjust the maximum size appropriately.

IF YOU ARE ABLE TO REINDEX IMMEDIATELY, you may continue. If not, the next steps may only be taken when you are able to reindex.

7. From the System Menu, select Start-Up.*

8. Using your arrow key, select "File Utilities".

9. In Erase Data ( ), answer "N". CAUTION: If answered incorrectly, all data could be lost.

10. In Change Size ( ), answer "Y".

11. The message, "Loading Filelist....Please Wait" will appear on the screen. Wait until the files appear on the screen. The files appear in the order of the File Status Report.

12. Using your down arrow key, arrow to the first file which needs to be increased.

13. Place an "X" in the first column.

14. The cursor will go to the Max column. Enter the new maximum records allowed and use the ENTER key to continue. When entering this number, be sure the value is saved correctly before moving to the next file requiring adjustments. Refer to step 6 for information on how to calculate the new Maximum record size.

15. When the cursor moves to the next line and a "#" will appear in the far right column replacing the "*".

16. Continue for each file that needs to be increased.

17. When you are finished, press F2 SAVE key.

18. Use the ESC key to exit the program.

19. REINDEX IMMEDIATELY! You may reindex all files or only the files that were changed during this procedure.
